The Virtual Event Marketing Coordinator supports the end-to-end planning, promotion, and execution of virtual events. You will play a key role in managing digital marketing efforts, coordinating sponsor and speaker communications, supporting registration, and ensuring smooth project timelines.
This is a fully remote role, ideal for someone with strong organizational skills, a passion for events, and hands-on experience with marketing and communication tools.
Key Responsibilities
Marketing & Content Execution
- Manage and update social media platforms (LinkedIn, Twitter/X, Facebook)
- Draft and schedule marketing emails, newsletters, and announcements via Mailchimp, Zoho, or similar tools
- Coordinate basic website content updates using a CMS (e.g., WordPress)
- Design simple visual assets via Canva (e.g., email banners, social media graphics)
- Maintain content and promotional calendars
- Schedule and track paid/unpaid digital ad campaigns
Sponsor & Partner Coordination
- Research potential sponsors, media partners, and advisory board members
- Draft outreach messages and schedule meetings
- Track communications and maintain up-to-date CRM and spreadsheets
- Collect and organize sponsor materials (logos, contracts, bios, ads, etc.)
- Follow up on deliverables post-meetings
Speaker & Session Management
- Research and track prospective speakers
- Support onboarding of confirmed speakers and gather presentation materials
- Keep the session agenda updated and version-controlled
- Coordinate with marketing to reflect speaker updates on all channels
Attendee Support & Registration
- Set up and manage online registration forms
- Maintain attendee lists, send confirmations, and respond to inquiries
- Prepare name badge reports and related materials
Project Management & Operations
- Maintain timelines, deliverables, and schedules
- Organize shared folders and documentation for the team
- Contribute to event growth ideas through market and competitor research
Minimum Qualifications
Core Competencies
- Strong written and verbal communication in English
- Excellent time management, attention to detail, and ability to meet deadlines
- Highly organized and able to manage multiple tasks independently
- Fast learner with new tools and workflows
Technical Skills
- Marketing Tools: Mailchimp, ConvertKit, or similar email marketing platforms
- Design Tools: Canva (for basic graphics and templates)
- CRM & Task Tracking: Airtable, Notion, HubSpot (basic use)
- Project Tools: Google Workspace (Docs, Sheets, Drive, Gmail), Microsoft Office Suite (especially Excel and PowerPoint)
- Website Management: Basic CMS editing (e.g., WordPress — no coding required)
- Social Media Tools: Hootsuite, Buffer, Later, or similar scheduling platforms
- Video Conferencing: Zoom (hosting, screen sharing, session recording)
